Description:
Monday - Friday from 9:30AM - 5:30PM Monitor inventory analyze AWIPs prior to distribution to partners and highlight matters with inventory over 30 days follow up with Billing Partner and note reasons for any delayed billing on matter status log. Assist Accounts Receivable department by actively monitoring receivables ensure that outstanding balances are included on all bills follow up monthly with attorneys concerning reasons for delayed collections. Prepare, print and distribute prebills by no later than the 6th working day of each month. Draft bills and forward to partners by the 12-15th working day of each month carefully observe and apply discounts ensuring adherence to firm policy follow up to ensure timely partner review and transmittal to clients. Revise bills as instructed by attorneys, ensuring that any discount or write off or costs is consistent with firm policy and has been properly authorized. Follow up at least one week prior to closing on all outstanding bill drafts to expedite partner review and ensure adherence to monthly billing schedule. Post bills prior to transmittal to clients expedite posting of cash bills' advising supervisor of any that remain unreconciled for more than 72 hours. Organize and file bills as promptly as possible, preferably on a DAILY basis ensuring that all posted bills are filed by the 3rd working day of the new month. Respond to client and attorney billing inquiries promptly and completely inform supervisor if unable to respond on &ldquosame day&rdquo basis or meet the requested deadline. Edit time records, maintaining and filing documentation for adjustments in a timely manner develop awareness of repetitive adjustments suggest ways to improve the timekeeping and adjustment process. See opportunities for growth, e.g. offer assistance with special projects offer assistance to peers become familiar with accounting operations procedures suggest improvements to billing process and systems procedures. Mentor and assist in the training and development of new Billing Coordinators. Assist Billing Managers with department administrative projects, e.g. compilation of policies and procedures development of training manual bill formatting design and implementation. Seek opportunities to enhance department productivity by suggesting improvements to billing process, reporting function and system procedures. Experience:
Knowledge of Word and Excel. 2+ years experience working in a Billing department for a law firm or professional services firm. Ability to work and produce with limited supervision prepared to follow up on problem areas. Strong oral and written communication skills. Strong Math skills. Strong interpersonal and organizational skills a plus. Work well in a team environment.
